- Customer-provided data and credentials when necessary to perform authorized repair, recovery, managed IT, cybersecurity, backup, or other technical services.
2. How We Use Information
We use information to:
- respond to inquiries and provide requested services;
- schedule appointments and communicate service updates;
- diagnose, repair, recover, secure, configure, and support devices and systems;
- prepare estimates, quotes, invoices, and service records;
- operate, secure, improve, and troubleshoot our website and business systems;
- detect fraud, abuse, security incidents, and unauthorized access;
- comply with legal, tax, accounting, contractual, and regulatory obligations; and
- send transactional email or SMS communications when authorized.
3. SMS and Mobile Information
When you provide a mobile number and consent to receive text messages, we may send appointment confirmations, reminders, service updates, quote or approval requests, support responses, and other transactional messages related to your relationship with ProTek.
Mobile opt-in information and consent records are not sold, rented, or shared with third parties for their own marketing purposes. We may provide limited information to communications service providers solely to deliver and manage ProTek messages.
4. How We Share Information
We do not sell personal information. We may disclose information:
- to service providers that host, secure, transmit, process, or support our systems and communications;
- to payment processors to complete transactions;
- to vendors or subcontractors assisting with an authorized service, subject to confidentiality and security obligations;
- to a client organization when we act on its behalf;

5. Customer Device and File Content
During standard in-lab data transfer and data recovery work, customer file content is processed locally within ProTek's controlled environment unless the customer authorizes another method or a different arrangement is required for the requested service. Customer file content is logically separated by customer and accessible only to authorized personnel as needed to perform the service.
This local-processing statement applies to customer file content handled in the lab. Business records such as contact information, tickets, appointments, messages, invoices, audit logs, and consent records may be stored or processed using approved cloud service providers.
6. Data Retention
Temporary customer file copies, recovery working copies, diagnostic images, and service-created backups are retained for no more than 30 days after service completion unless:
- the customer requests earlier deletion;
- a separate backup or managed service agreement authorizes longer retention;
- continued retention is reasonably necessary to complete the service, resolve a dispute, or address a warranty or rework request; or
- a legal hold or other legal obligation requires retention.
Business records such as tickets, invoices, payment records, consent records, security logs, and audit records may be retained longer when reasonably necessary for operations, security, accounting, legal compliance, or dispute resolution.
7. Security
ProTek uses administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, and loss. Safeguards may include role-based access, individual accounts, multi-factor authentication, encryption, secured storage, restricted work areas, audit logging, employee confidentiality obligations, and incident-response procedures.
No system can be guaranteed completely secure. Customers should maintain independent backups of important data whenever possible.
8. Cookies and Analytics
Our website may use necessary cookies and limited analytics technologies to operate the site, understand usage, maintain security, and improve performance. Browser settings may allow you to restrict cookies, although some website features may not function correctly.
9. Your Choices and Requests
You may request access to, correction of, or deletion of personal information maintained by ProTek, subject to legal, contractual, security, and operational limitations. You may also request early deletion of temporary service-created file copies. We may need to verify your identity before fulfilling a request.

10. Medical and Regulated Client Information
When ProTek performs services involving protected health information or other regulated information on behalf of a client, the applicable service agreement, business associate agreement, or regulatory addendum controls. ProTek uses and discloses such information only as authorized by the client agreement or required by law.
11. Children
Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the website without appropriate authorization.
12. Changes to This Policy
We may update this policy from time to time. The effective date above identifies the current version. Material changes will be posted on our website.
